Refund and Cancellation Policy

This Refund and Cancellation Policy governs subscription payments, cancellations, and refunds for our School Management Software as a Service (SaaS), including our website, web application, and mobile applications (collectively, the “Service”).

By subscribing to or using the Service, you agree to this Refund and Cancellation Policy.


1. Subscription Plans

Our Service is offered on a subscription basis (monthly, termly, or annually, depending on the plan selected). Subscription details, pricing, and billing cycles are displayed at the time of purchase.


2. Free Trials (If Applicable)

If a free trial is offered:

  • No payment is required during the trial period

  • Schools may cancel at any time before the trial ends without being charged

  • Once the trial expires, the subscription will begin automatically unless canceled


3. Cancellation Policy

3.1 How to Cancel

Schools or authorized administrators may cancel their subscription by:

  • Contacting us through the official contact details provided on our website, or

  • Using the account management tools provided within the Service (if available)

3.2 Effect of Cancellation

  • Cancellation stops future billing

  • Access to paid features will continue until the end of the current billing period

  • No partial refunds are provided for unused time in the current billing period


4. Refund Policy

4.1 General Rule

All subscription fees are non-refundable, except where required by applicable Ugandan law or explicitly stated otherwise in writing.

4.2 Non-Refundable Situations

Refunds will not be issued for:

  • Change of mind after payment

  • Partial use of the Service

  • Failure to use the Service due to internal school reasons

  • Account suspension or termination due to violation of our Terms and Conditions


5. Exceptional Refunds

Refunds may be considered, at our sole discretion, in exceptional circumstances such as:

  • Duplicate or erroneous payments

  • Proven system-wide technical failure preventing use of the Service for a significant period

Any approved refund will be processed using the original payment method where possible.


6. Downtime and Service Interruptions

Temporary service interruptions due to maintenance, updates, or events beyond our control do not qualify for refunds. We make reasonable efforts to maintain service availability but do not guarantee uninterrupted access.


7. Termination by Us

If we terminate a school’s subscription without cause before the end of a paid billing period, a prorated refund for the unused portion may be issued, at our discretion.

No refunds will be issued if termination results from:

  • Breach of Terms and Conditions

  • Misuse of the Service

  • Non-payment of fees


8. Data After Cancellation

Upon cancellation or termination:

  • Schools may request export of their data within a reasonable period

  • Data may be permanently deleted after a retention period, subject to legal obligations


9. Changes to This Policy

We reserve the right to update or modify this Refund and Cancellation Policy at any time. Changes will be posted on this page with an updated “Last Updated” date. Continued use of the Service constitutes acceptance of the revised policy.
